The type of personal information we collect
We currently collect and process the following information:
· Personal identifiers, contacts and characteristics: name, email addresses, location, gender, occupation, age.
· Personal photo or headshot.
· Photography taken during our events. Photos may show members of our team, collaborators, partners, volunteers and/or attendants.
· Video recorded during our events. Footage may show members of our team, collaborators, partners, volunteers and/or attendants.
· Audio recorded during our events. The audio may show the conversations, conferences or talks from our event programme, featuring guest speakers, participants and collaborators.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
· You signed up for our newsletter.
· You signed up for one of our Events, either through Eventbrite or through email.
· You agreed to complete an evaluation questionnaire to help us improve our events and services.
In the case of photography, footage and audio files, this is material documenting the execution of our events. You have the right to withdraw from appearing in this material by addressing it with a member of our team or emailing hello@wearersfestival.com. A consent disclaimer is always available during our events.
We also receive personal information indirectly, from the following sources in the following scenarios:
· From social media platforms and/or websites when we scout for talent and potential collaborations.
We use the information that you have given us in order to:
· Send you updates and information about upcoming events (if consented by you).
· Conduct evaluation of our events and services.
· Conduct our own audience and marketing analysis.
· Maintain communication with you regarding the event you signed up to.
· In the case of photography, footage and audio, we may use this material for promotional purposes in our website and/or social media channels and newsletter.
We may share this information with the members of our team and/or the members of our board of trustees.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting hello@wearersfestival.com
(f) We have a legitimate interest.
Our lawful basis is based on the Article 6(1)(f) for processing where:
“Processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject which require protection of personal data, in particular where the data subject is a child.”
Under no instances we pass personal information to a third party.
How we store your personal information
Your information is securely stored in the personal devices of the members of our team, as well as the Wearers Festival cloud. Nobody outside the organization has access to your data.
We keep personal identifiers for 5 years. We will then dispose your information by deleting your data permanently from our devices and systems.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
